    Displaying Custom Entity Fields

    If you are storing custom entity fields on customer records within NetSuite it is simple to display these fields to your customers from your NetSuite website.

    If the built-in NetSuite customer center does not have the flexibility you need it is recommended to create a ‘hidden’ category or tab that appears only after a customer has logged in. You can ‘hide’ categories and tabs using the audience feature within the product.

    You can then format the HTML of these pages to use NetSuite ‘getAttribute’ tags to dynamically display customer data. This way a customer can login to your site, view their current information and notify you of any changes through an online form.

    Publishing a Customized Dashboard to all Sales Reps

    Dashboards can be customized, saved and published out to users based on their roles. Publishing a dashboard saves all content displayed on the tabs in your account, including key performance indicators, report snapshots, list screen views, portlets, reminders and shortcuts. The role used to create the customized dashboard must be in the same Center and have the permission to publish dashboards. By default, the Sales Administrator role has this permission, but the Publish Dashboard permission can be assigned to other roles like Sales Person.

    While the Sales Administrator can customize and publish their dashboard to the Sales Person role, it would be slightly different because the Administrator has more permissions. For example, a shortcut to Approve Commissions should not show up on the Sales Person dashboard because they don’t have that permission. Therefore, a clearer picture of what the Sales Person will actually see is to create a new role by copying the existing Sales Person Role, adding the Publish Dashboard permission, customizing the dashboard and using that role to actually publish the dashboard out to Sales Reps. This will ensure an exact match on permissions truly available to the role. There are three steps to publishing the customized dashboards.

    1. Create a Sales Person role for creating the dashboard and publishing:

    This role will be used to create the customized dashboard for publishing to the Reps.

    1. Login as Sales Administrator
    2. Navigate to Setup > Users/Roles > Manage Roles
    3. Edit the customized Sales Person role assigned to your Reps or Customize the standard Sales Person role
    4. Change the Name to something like “Sales Person-Publish Dashboard”
    5. Navigate to the Permissions > Setup subtab.
    6. Add the Publish Dashboards permission and set level to Full. Add.
    7. Finish by clicking Save As. This creates a replica of the Sales Person role with ability to publish dashboards

    2. Assign the role to yourself:

    1. Navigate to Setup > Users/Roles > Employees. Edit your employee record.
    2. Navigate to the Access tab. Select the newly created Role “Sales Person-Publish Dashboard”. Add and Save the Employee record.

    3. Publish the dashboard:

    1. Change your role to the new “Sales Person-Publish Dashboard” role.
    2. Configure your dashboard and tabs by setting up key performance indicators, portals, report snapshots, shortcuts … etc. Additionally, you can create a custom Lead list view with just the fields your sales team is interested in seeing.
    3. Navigate to Home and click the Publish Dashboard link under the Settings portlet.
    4. Enter the Name for the dashboard. In this case “Sales Rep Dashboard”
    5. Navigate to the Apply to Role subtab and add the “Sales Person” role that all your Reps are assigned.
    6. Check the Override existing user's settings box to publish the dashboard to existing users with this role. The Sales Reps will lose their personal settings and will see the newly created dashboard

      Leave this box clear if you want to allow existing Sales Reps to keep their current dashboard. Only new Sales Reps that are assigned this role will be given this dashboard.

    7. Navigate to the Appy to Tabs subtab
    8. Check each tab that you want to influence and change to the saved content layout.

    9. The Mode sets the level of customization you will allow your Sales Reps to make changes to each tab.
          • Unlocked - Users can add/remove/modify dashboard       content without restriction
          • Locked - Users can not make any changes to their       dashboard content
          • Add/Move content - Users can add or move dashboard       content but can not remove published content
    10. Save the dashboard. This automatically applies the dashboard and rules to the roles selected.

    The saved dashboards can be edited and changed at any time. These dashboards only affect the layout and content, not personal preferences like color schemas.

    , Chris Selland is the founder and Managing Director of Reservoir Partners, the Customer Relationship Management (CRM) consultancy he founded in 2001. In addition, he is working with Covington Associates, a Boston-based investment bank, advising on enterprise software and service market consolidation and M&A.Mr. Selland is a well-known expert, author and public speaker in the areas of technology-enabled Sales, Marketing and Customer Service strategies. He is the former President of the Customer Relationship Management Association (www.crm-a.org), a member of the editorial board and columnist for CRM Magazine, and past chairman of the Linkage Sales & Marketing Leadership Summit as well as the DCI CRM Leadership Summit.Prior to founding Reservoir Partners in 2001, he worked in a variety of leadership positions at companies including eSupportnow, the Yankee Group, Primix Solutions, Computer Associates and Ingersoll Rand.Mr. Selland is a graduate of Cornell University, earning his Bachelors degree in Operations Research & Industrial Engineering.
