Implementing Explore Consulting's Data Integration Module (DIM)
Background: Explore Consulting's client is a nationally expanding network, computer reseller and systems integrator with offices nationwide, utilizing CNET's ChannelOnline service and NetSuite for core financials.
Issue: Sales People and Bookkeepers were re-keying sales orders multiple times between their front and back-office systems. The orders are initially created in the CNET ChannelOnline application and then manually re-entered into NetSuite by the Bookkeepers, which led to more opportunity for errors, inefficiencies and latency to complete the collection process of billings.
Resolution: After taking a look at the client's requirements for a robust, automated and hands off integration solution, Explore's staff was able to quickly address their integration needs by utilizing their Data Integration Module (DIM) for NetSuite. The DIM integrates data from virtually any business system, in any format, in a bi-directional manner with NetSuite because it is already configured and utilizes NetSuite's NetFlex Web Services platform. These technologies allow our Web Service and smbXML generating software to exchange NetSuite data without user interaction. By installing the DIM between CNET's ChannelOnline XML interface and NetSuite's web services interface, we were able to pull completed sales orders from ChannelOnline, translate and import them into NetSuite in an automated fashion. Therefore, we were able to remove the need to re-key orders and reliance on personnel to complete the process. As an added benefit, Explore Consulting's DIM includes a real-time Dashboard complete with KPI's, error reporting, job log summary, job scheduling, and automated job notifications.
Explore also incorporated server side automation via SuiteScript to implement a customized workflow approval process and additional validation logic specific to the client's business.
Results: By utilizing Explore's Data Integration Module and Explore's Professional Services, the client was able to cut down the integration project duration and total cost vs. building it out from scratch. They now have a robust, automated, proven solution with the self-service dashboard functionality. They are capable of integrating any other data sources into their business in the future by utilizing the same integration platform. While it's preconfigured for NetSuite, it doesn't require NetSuite and could be used to pull data from CNET and send to any other system, like a supplier.

Excel Web Query
To help you operate more efficiently without constantly relying on a technical staff to provide custom reports and key metrics in a specific format, NetSuite provides the ability to create "Web Queries". They allow you to pull real-time data from any NetSuite report into Microsoft ® Excel. This gives you a powerful and familiar environment for crunching numbers and generating highly customized reports from your NetSuite data. To do this, customize any report, navigate to the "More Options" section of the Report Builder, and click on the "Allow Web Query" checkbox.
Save and run the report. Then, click the "Export - Excel Web Query" button.
When you open the document in Microsoft ® Excel, you will be prompted for your NetSuite username.
You can now update the information in the report at anytime by clicking on the refresh button in Excel.
Excel Web Queries can be used for easy access to your NetSuite information. They can also provide the ability to build reports including information that may not be stored in NetSuite.
