AIGB The American Institute of Gastric Banding (AIGB) uses NetSuite CRM to manage customers, prospects and their extensive marketing efforts. AIGB contacted Explore Consulting looking for a way to automate the association of campaigns to prospects based on the phone number on which the customer called.

Explore developed a custom application that integrated their existing Net Phone TAPI application with NetSuite using SuiteTalk and a customized web interface. Now, when the phone rings in their call center, the call center representative sees a web page pop up displaying the caller information and the associated campaign. This information is then automatically loaded into NetSuite as a call record attached to the customer record.

NetSuite Monthly Subscription Management

Background: Z57 Internet Solutions is a real estate internet marketing company using NetSuite as their ERP and CRM solution. Based in San Diego, Z57 provides clients with professional real estate web sites, buyer/seller traffic generation, as well as lead capture and conversion services.

Issue: Z57 provides their services to clients on a monthly subscription basis without a fixed end date. Originally, Z57 utilized memorized transactions within NetSuite as a recurring billing solution. With time, Z57 found they had successfully grown their monthly subscriber basis to over 25,000. Each month these subscriptions were being billed via memorized cash sales, but credit card charge declines became difficult to manage. The usage of memorized transactions required the manual rebilling of any failed cards. Z57 desired more flexibility in specifying how the customer was charged and wished for automated of resolution upon charge failure.

Solution: Explore Consulting worked with Z57 to develop a solution that utilized sales orders, custom transaction columns, and several scheduled SuiteScripts. Explore built an automated tool using the SuiteTalk web services API that migrated the 25,000 existing memorized cash sales to sales orders. Each sales order that required subscription billing stored values in several custom fields. These fields indicated the recurrence frequency and next billing date of the transaction.

The Explore Consulting development team wrote SuiteScripts that performed the billing of sales orders based on the custom field values. In order to handle failed credit card charges, fields were added to the cash sale record that would track the status of the charge. If an initial credit card charge failed, the SuiteScript would record this failure and subsequently try again in the future. After a pre-determined number of failures without success, an invoice would be automatically created and sent to the client.

Results: Z57 now has much greater control over their monthly subscription billing. The management of failed credit cards is more efficient and most records that fail on the first try succeed on a subsequent billing attempt, without any interaction. Hands-on management of the monthly billing process has decreased for Z57 and has allowed them to focus their resources on successful growth. The scripting-based solution will allow Z57 to modify their subscription business logic to handle any needs in the future.

SuiteScript Inline Editing

Workflow Management Using List Views:
Inline Editing in a list view is very convenient for quickly updating records with out having to open each record individually. This is especially useful for managing company-specific workflow processes because you can easily run through a list and check boxes or change status fields for many records in a short amount of time. By using different filters in a list view, records can move from one list to the next as field values change.

Word of caution:
If you use SuiteScript on your record that is based on a user event such as save, the SuiteScript will not execute when changes are made from a list view. Event based SuiteScripts only execute when the record is opened and saved from within the form.

This is acceptable most of the time unless the fields you are changing in the list view correlate to the business rules or automation provided by the SuiteScript. In this situation you will need to prevent users from editing records from the list view. This can be done by changing a preference on the form. Find the preferred form for your record type, select Edit, and uncheck the field "Enable Field Editing on Lists". Although you many have different forms for a given record type, the list view always looks at the preferred form to determine if inline editing is possible.

Use Case Scenario:
Foster Services has implemented a new workflow to help streamline their new hire process. They start by adding a "Hire Status" custom field to the employee record. When the status is changed to "Offer Accepted" NetSuite tasks are automatically created to setup their email account and order building access cards. Since the company depends on the creation of these tasks, they could not allow users to update the status field via inline editing so they unchecked the "Enable Field Editing on Lists" option on their preferred employee form.
